Certificates. Doux it.
Certificate of insurance requests caught, checked against the policy and ready for your approval in minutes. COI automation for independent insurance agencies.
The general contractor needs a COI by noon. Your CSR is on the phone. The job site waits. The client calls your cell.
Request in. Checked against the forms on the policy. Holder added. Additional insured shown only when the endorsement is there. Certificate ready. You approve. Minutes. Not days.
How it runs.
- Catches the request. Email, text or portal.
- Checks the policy is active and the limits meet the requirement.
- Builds the certificate. Right holder. Description of operations that matches the policy forms.
- Wording the policy doesn't support? It stops. Your account manager decides.
- You approve. It sends, files and logs it on the client record.
What it touches.
Why it matters.
Certificates are a constant request in a commercial agency and the least loved. Contractors need them today. Property managers want them yesterday. Every one has a holder, a project and wording that has to be right.
Get the wording wrong and the certificate says something the policy does not. That is an E&O problem with your name on it.
DouxProcess checks every request against the actual policy before a certificate exists. Additional insured, waiver of subrogation, primary and non-contributory: only when the endorsement is really there. Standard requests are ready in minutes. Odd ones come to you.
Where it stops.
- A certificate never shows coverage the policy does not have.
- Additional insured and waiver wording only when the endorsement is on the policy.
- Contract asks for something the policy doesn't show? It stops. You decide.
- Expired or cancelled policy? No certificate. You are told why.
- Every certificate is saved to the client record with the request that triggered it.
Straight answers.
Which forms does it issue?
Certificates of liability insurance for GL, auto, umbrella and WC. Evidence of property for property. Holder and project details come from the request.
What if the contract asks for wording the policy doesn't support?
It stops and shows you the gap: what was asked, what the policy says. You call the client or request an endorsement. It never papers over it.
Does it send the certificate to the holder directly?
With your approval, yes. To the holder, the client or both. Every send is logged.
What happens at renewal?
It reissues certificates with the new policy dates to the holders you flag, as one batch you approve. Nobody calls you for an updated copy.
Does it replace my certificate module?
No. It works inside the system you already use and keeps the holder list there.
Take the recipe.
The procedures this workflow runs on, written as one file. Load it into Claude, ChatGPT or Gemini and run it on your own requests today.
Watch it installed: Claude · ChatGPT · Gemini
Downloads open after you sign the kit license: you build it, you run it, you answer for it.
How to load it. Nothing to install.
- Claude: Settings, Capabilities, Skills, Upload skill. Pick the .zip.
- ChatGPT: start a Project or a custom GPT and paste the .md into its instructions.
- Gemini: make a new Gem and paste the .md into its instructions.
- Then use it: paste in the email or attach the PDF. You get a table and drafts back. You approve. You send.
Before the first run
Installing it is half the job. The first run needs these from your own systems. Gather them first: a minute or two each.
- Open the email.
- Click inside the message. Press Ctrl+A, then Ctrl+C (Cmd on a Mac).
- Paste it in the chat. Attach anything that came with it.
- Search for the client and open it.
- Policies › the policy (for example, general liability) › Documents.
- Download the declarations and the forms schedule as PDF. Every policy on the certificate.
- Attach them in the same chat.
Nothing to connect, no password to share: you copy one thing and download the other. Not in your system? Get it from the carrier's website. Never from memory.
On its own it reads what you paste in and drafts the work. Want it wired into your mailbox, management system and carrier portals? The builder kit teaches your programmer every step: database, passwords, approvals, deployment. Or let DouxProcess run it for you.
