Who we are
DouxProcess is software used by licensed insurance agencies to carry out work inside systems those agencies already run. When an agency uses DouxProcess on its own book, the agency controls that data and we process it for them. DouxProcess is not an insurance company, agency or producer.
What we collect on this website
- Agency qualification: full legal name, agency, agency license number, work email, the qualification statements you check, and your IP address and browser user agent when you submit.
- Demo requests: name, agency, work email and, if you give it, a cell number.
- Agency questionnaire: name, agency, work email, cell (optional), your role, the answers you choose about revenue, constraint, urgency and familiarity with Claude, the AMS you use, what you want fixed, who else should be involved, and the campaign tags and referring page that brought you to the site.
- Session sign-ups: name, agency, your role and work email.
- Workflow email sign-ups: the email address you give us.
- Builder kit license: full legal name, organization, title, work email, NPN, your typed signature, the boxes you ticked, the version of the terms you signed, the file you asked for, and your IP address and browser user agent at signing.
- Quote requests (DouxProcess in an AI assistant, or an agency page on douxprocess.com): the agency you chose, your name, business name if you give one, email and/or phone, the line of insurance, the state, what you need covered in your own words, that you agreed to be contacted, the time, and a reference number. As the record of your agreement we also keep the time you agreed, what it covers (contact from that agency about that request only), the words you agreed to, and the name the sending app or browser gives itself (its user agent). If you report an agency, we keep your report, your reference number and the email or phone you used, on the same 12-month schedule. When you use DouxProcess inside Claude, ChatGPT, Gemini, Grok or another assistant, we receive only what the assistant sends to our tools for that request. We never receive your conversation, your chat history or your files. The assistant’s own company handles your chat under its own privacy policy.
- Agencies joining the DouxProcess network: agency name, license number, quote inbox, phone, website, quoting link, the lines and states you write, hours, languages and the line about your agency you write. Once a person approves you, these appear on your public page and in DouxProcess answers.
- Browser user agent: recorded with demo, questionnaire and session sign-up submissions.
- Server logs: ordinary request logs (IP address, page, time, browser).
- Site statistics: for each page you open, our own server records the page, the site and campaign tags that sent you, your device and browser type, the region of our server that answered, how far down the page you scrolled, how long it was open and which of our links you followed. Instead of your IP address we store a one-way code that changes every day, so we can count visitors without identifying you or following you from one day to the next. It uses no cookies, nothing is sent to anyone else, and the records are deleted after 13 months.
How we use it
To answer your request, confirm that your agency qualifies, set up a demo, keep a record that you accepted the kit license, and keep the site secure. We do not sell or share personal information for advertising, and we do not use client data to train models.
Who we share it with
- Service providers that run the site for us: our hosting provider, Google (email delivery) and ntfy (a notification to our own phone when a request arrives).
- The one agency you choose. A quote request goes to that agency only, and only after you agree to be contacted. That agency is independent of us and handles your information under its own privacy policy.
- Anyone we are required by law to share it with.
Calls and texts
We call or text a cell number only about the request you made, and only if you gave us the number. Reply STOP to any text to opt out.
Cookies
Two cookies, both strictly necessary: doux_qual, set only after your agency qualifies, so the demo booking opens for you; and doux_kit, set only after you sign the kit license, so downloads open for you. We use no analytics, advertising or tracking cookies, and no third-party scripts.
Do Not Track
We do not track you across sites. If your browser sends a Do Not Track or Global Privacy Control signal, your page views are still counted, but without the daily visitor code.
How long we keep it
Requests and applications: kept while we answer them and afterwards until you ask us to delete them. Quote requests are kept for 12 months, so we can answer questions about a request, and then deleted. Kit license acceptances are kept as the record of the agreement and are not deleted while the license is in force.
Your rights
California residents and others may have the right to know, access, correct or delete personal information we hold, and not to be treated differently for asking. Email us and we will act on it. If your data sits inside an agency’s book, we will refer you to that agency.
Security
Access is restricted, traffic is encrypted, and actions taken by the service are logged. No system is perfectly secure.
Children
DouxProcess is a business product and is not directed to anyone under 18.
Changes
If this policy changes, we update the date at the top.
